Who is the Controller of your personal data and how can you contact them?

When and what data do we collect?
The MEETING15 Platform may collect Users' data at various stages of using the Platform, in particular: during User account registration, when logging into the Platform, and automatically during a visit to the Platform. The MEETING15 Platform may collect, depending on the event in which the User participates, the following User data: first name, last name, e-mail address, password, position, organization, phone number, industry, certificate number or industry/professional license number, correspondence address. The Controller may also collect Users' data in connection with the User contacting the Controller electronically, by completing a contact form or via e-mail.
For what purpose and on what basis is personal data used?
Users' personal data is processed on the basis of Article 6(1)(b) of the GDPR for the purposes of providing services through the MEETING15 Platform or presenting a cooperation offer, as well as on the basis of Article 6(1)(f) of the GDPR for the purpose of fulfilling the Controller's legitimate interest in connection with responding to messages sent to the Controller by the User. No automated decisions, including decisions resulting from profiling, will be made in relation to you on the basis of personal data.
Is providing personal data mandatory?
Providing personal data is voluntary, but necessary to enable the use of MEETING15 Platform services or to contact the Controller.
How long is your personal data processed?
Personal data is processed in connection with:
- presenting a cooperation offer: for the duration of the offer and – in the event of a contract being concluded on the basis of the prepared offer – for the time necessary to demonstrate proper fulfillment of obligations arising from that contract (the limitation period for claims);
- performance of a contract (provision of the MEETING15 Platform service): for the time necessary to perform the contract, and subsequently for the time necessary to demonstrate proper fulfillment of obligations arising from that contract (the limitation period for claims);
- contact initiated by the User with the Controller: for the time necessary to respond to the User's message.
Who has access to your personal data?
Access to your personal data is held by Event Organizers of Events to which you have access and in which you participate, as well as recipients who help us maintain the IT system used to operate the Platform.
What rights do you have as a data subject?
You have the right to:
- access your personal data (i.e. to check what data is being processed by the Controller, obtain a copy of it, as well as obtain information on the purpose and legal basis on which the Controller processes the data of a specific User, to whom it is disclosed and when it will be deleted);
- request rectification and completion of personal data (in the event that it proves to be inaccurate or incomplete);
- portability of personal data processed in an automated manner in connection with the performance of a contract (i.e. transfer of data in a structured, commonly used, machine-readable format, e.g. txt., pdf., odt., doc., rtf., jpeg., XML, JSON, CSV);
- request restriction of personal data processing;
- object, on grounds relating to your particular situation, to the processing of personal data by the Controller for the purposes of the Controller's legitimate interests;
- request erasure of personal data.

In connection with the processing of personal data, you have the right to lodge a complaint with the supervisory authority, which is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych).
Personal data security.
In order to ensure the integrity and confidentiality of data, the Controller has implemented procedures that allow access to data only to authorized persons and only to the extent necessary for the tasks they perform. The Controller applies organizational and technical solutions to ensure the recording of operations on personal data and the traceability of persons performing those operations. The Controller exercises due diligence to ensure that entities cooperating with it guarantee the application of appropriate security measures whenever they process personal data on behalf of the Controller. The Controller continuously monitors the adequacy of the data security measures applied in relation to identified threats.
Cookies.
- The Platform automatically collects in particular the IP address, browser type, operating system, and information contained in cookie files.
- Cookie files (so-called "cookies") are IT data, in particular text files, which are stored on the end device of the Platform User and are intended for use with the Platform's web pages. Cookies usually contain the name of the website from which they originate, their storage time on the end device, and a unique number.
- The entity placing cookies on the Platform User's end device and accessing them is the Controller.

Cookie files are used for:
- adapting the content of the Platform to the User's preferences and optimizing the use of the Platform; in particular, these files allow the Platform User's device to be recognized and the web page to be displayed appropriately, tailored to their individual needs;
- creating statistics that help understand how Users use the Platform, which enables improvement of its structure and content;
- maintaining the Platform User's session (after logging in), thanks to which the User does not need to re-enter their login and password on each subpage of the Platform.

The following types of cookie files are used on the Platform:
- "session" (session cookies) and "persistent" (persistent cookies). Session cookies are temporary files that are stored on the User's end device until they log out, leave the website, or close the software (web browser),
- "persistent" cookie files are stored on the User's end device for the time specified in the cookie parameters or until they are deleted by the User,
- "necessary" cookie files, enabling the use of services available within the Platform, e.g. authentication cookies used for services requiring authentication within the Platform,
- cookie files used to ensure security, e.g. used to detect authentication abuse within the Platform,
- "performance" cookie files, enabling the collection of information on how the Platform's web pages are used;
- "functional" cookie files, enabling the "remembering" of settings selected by the User and personalization of the User interface, e.g. with regard to the selected language or region from which the User originates, font size, website appearance, etc.;
- In many cases, web browsing software (the web browser) allows the storage of cookie files on the User's end device by default. Platform Users may change their cookie settings at any time. These settings may be changed in particular in such a way as to block the automatic handling of cookie files in the web browser settings or to be notified of each instance of their placement on the Platform User's device. Detailed information on the possibilities and methods of handling cookie files is available in the software settings (web browser).
- The Controller informs that restrictions on the use of cookie files may affect certain functionalities available on the Platform's web pages and limit their availability.
- More information about cookie files can be found in the "Help" section of the web browser menu.
- The Platform uses Google Analytics, a web audience analysis service provided by Google LLC ("Google"). Google uses cookies to enable the Platform to analyze how Users use it and to provide other services related to traffic on the Platform. The information obtained may be transferred by Google to third parties in connection with the fulfillment of a legal obligation or where such third parties process the information on Google's behalf. - The Controller reserves the right to amend this Policy by publishing a new version of the Policy on the Platform.
